North Fantasy Terms & Conditions
1. General Information and Passenger Responsibility
1.1 Iceland is part of the Schengen Agreement. Passengers are responsible for ensuring they possess all required travel and health documents before departure, including a passport valid for at least three months after return.
1.2 North Fantasy will not be liable if passengers are refused entry onto transport or into a country due to missing documents. Any fines or penalties resulting from this are the passenger’s responsibility.
1.3 Passengers with known medical conditions or pregnancies beyond 28 weeks must notify North Fantasy at least 30 days before departure and provide a medical certificate confirming fitness to travel. North Fantasy reserves the right to refuse bookings if such documents are not provided.
2. Booking and Payment
2.1 By booking with North Fantasy, you acknowledge that you have read, understood, and accepted these Terms and Conditions.
2.2 Payment for Day Tours
2.2.1 Full payment is required at the time of booking for day tours. 2.2.2 Failure to pay will result in automatic cancellation of the booking.
2.3 Payment for Private or Group Customized Tours
2.3.1 A 60% deposit is required at the time of booking. The remaining 40% must be settled at least 7 days before departure.
2.3.2 Failure to complete payment within the required time frame will result in automatic cancellation, and the deposit will be non-refundable.
2.3.3 For customized group tours of 10 or more participants, it is recommended to begin planning discussions at least 6 months prior to arrival to ensure the best experience.
2.4 Confirmation of Booking
• For bookings made through the North Fantasy website (day tours): By completing a booking online, the client confirms that they have read, understood, and accepted the Terms and Conditions, including the cancellation policy.
• For private or group customized tours: A booking is considered confirmed only after North Fantasy issues a written confirmation via email. Such confirmation indicates that the client has read, understood, and agreed to all Terms and Conditions stated herein.
3. Prices and Currency
3.1 All prices are quoted in the local currency (e.g., Icelandic Krona - ISK) and are subject to change without prior notice. North Fantasy is not responsible for currency fluctuations or additional fees (e.g., bank transfer fees, credit card fees) beyond our control.
3.2 Payments will be processed in the local currency, and any price displayed in other currencies on our website is an approximation. Exchange rates may vary, and the final charge may differ slightly from the displayed price.
4. Cancellation Policy
4.1 Day Tours:
• Cancellations made more than 72 hours before departure: 90% of the booking amount will be refunded; 10% retained as administrative fee.
• Cancellations made within 72 hours of departure or no-shows: Non refundable.
4.2 Private or Group Customized Tours:
• All cancellations must be submitted in writing via
email to info@northfantasy.is and are valid only upon written confirmation from North Fantasy.
• Cancellations made more than 12 weeks (84 days) before departure: 80% of the total amount will be refunded, with a 20% administrative fee deducted. • Cancellations made within 12 weeks (84 days) before departure: Non refundable, including all prepaid accommodation, activities, and related services.
• Clients are responsible for all bank transfer or credit card processing fees.
5. Changes and Cancellations by North Fantasy
5.1 In view of Iceland’s unique climate and other force majeure factors (such as severe weather, road closures, or natural disasters), North Fantasy reserves the right to adjust, modify, or partially cancel the itinerary to ensure the safety of all participants. In such cases, we will make every reasonable effort to notify customers in advance and provide alternative arrangements or equivalent experiences, but no refunds will be issued.
5.2 For Northern Lights or other sightseeing tours affected by natural conditions, North Fantasy cannot guarantee successful viewing. Even if the tour proceeds as scheduled, no refunds will be issued if the phenomenon is not observed. Guides will provide the best possible viewing opportunities based on weather conditions.
6. Pickup and Transportation
6.1 Passengers must provide accurate pickup details at the time of booking.
6.2 Failure to be present at the designated pickup time and location will result in forfeiture of the tour without refund.
6.3 Pickup details may be modified up to 72 hours before departure by contacting info@northfantasy.is.
7. Luggage and Porterage
7.1 North Fantasy packages do not include luggage porterage.
7.2 There is no luggage porterage service available at most hotels or accommodations in Iceland.
7.3 We recommend packing light and bringing only what you can comfortably carry between the bus and your hotel room.
8. Travel Insurance
8.1 Individual travel insurance is not included in the price of our tours.
8.2 It is strongly recommended that all customers obtain personal travel insurance to cover medical costs, trip cancellations, and other potential contingencies.
8.3 North Fantasy will not be held liable for loss, damage, or theft of personal belongings during the tour.
9. Liability and Responsibility
9.1 North Fantasy’s liability for personal injury, death, or loss is limited to the extent permissible by Icelandic law.
9.2 North Fantasy is not responsible for delays, alterations, or cancellations caused by events beyond our control, including but not limited to flight cancellations, vehicle accidents, strikes, government interventions, or other force majeure events.
9.3 By booking with North Fantasy, you agree to accept the inherent risks associated with adventure travel and acknowledge that unforeseen changes to itineraries may occur.
10. Customer Conduct
10.1 North Fantasy reserves the right to refuse service to customers who are deemed unfit or under the influence of alcohol or other substances during the tour or activity.
10.2 Customers are expected to follow the instructions and safety guidelines provided by their guides at all times.
11. Lost and Found Items
11.1 North Fantasy will assist in returning lost items upon request.
11.2 A service fee and shipping cost will apply.
11.3 North Fantasy assumes no liability for any loss or damage during shipping.
12. Legal Venue
12.1 Any disputes arising from these Terms and Conditions shall be subject to the jurisdiction of the courts in Reykjavik, Iceland.
12.2 Icelandic law shall govern the contractual relationship between North Fantasy and the client.
13. Amendments to Terms and Conditions
13.1 North Fantasy reserves the right to amend these Terms and Conditions at any time without prior notice. The current version will always be available on our website.
